Claaro Technology s.r.o., registered in the Czech Republic ("Claaro", "we", "us"), operates the Claaro facility management platform accessible at claaro.com. We are the data controller for personal data processed through our website and platform.

2. What data we collect
We collect data you provide directly and data generated by your use of our services:
- Account data — name, email address, company name, phone number
- Usage data — pages visited, features used, session duration, device and browser type
- Communication data — messages sent via contact forms or support channels
- Payment data — billing address and payment method (processed by our payment provider; we do not store card numbers)
- Location data — approximate location derived from IP address
3. How we use your data
We use your data to:
- Provide and improve the Claaro platform
- Respond to support requests and enquiries
- Send transactional emails (onboarding, invoices, alerts)
- Send product updates and marketing communications, where you have consented
- Analyse usage patterns to improve our services
- Meet legal and regulatory obligations
4. Legal basis for processing
We process your data on the following legal grounds under GDPR:
- Contract performance — to deliver the services you signed up for
- Legitimate interests — product analytics, fraud prevention, security
- Consent — marketing emails and non-essential cookies
- Legal obligation — compliance with applicable law
5. Sharing your data
We do not sell your personal data. We share it only with:
- Service providers acting as data processors (cloud hosting, analytics, email delivery, payment processing)

All processors are contractually bound to process data only on our instructions and to maintain appropriate security measures.
6. Data retention
We retain account data for the duration of your contract plus 3 years. Usage logs are retained for 12 months. You may request earlier deletion at any time (see Section 8).
7. International transfers
Some of our processors are located outside the EEA. Where this occurs, we ensure adequate safeguards are in place (Standard Contractual Clauses or equivalent mechanisms).
8. Your rights
Under GDPR you have the right to access, correct, erase, restrict, or port your personal data. You may also object to processing based on legitimate interests and withdraw consent at any time. To exercise these rights, email privacy@claaro.com. You also have the right to lodge a complaint with your national data protection authority.
9. Cookies and similar technologies
This website does not use advertising, marketing, or third-party analytics cookies. We also do not embed third-party tracking pixels, session-replay tools, or social media trackers.
We use only the following strictly necessary, first-party browser storage, which is exempt from consent under the ePrivacy Directive (Art. 5(3)) as it is required to deliver functionality you have explicitly requested:
- Language preference (
localStorage) — remembers the site language you selected. - Session UI state (
sessionStorage) — remembers within a single browser session that you have already seen our entry animations, so we do not replay them. Cleared when you close the tab.

If we ever introduce analytics or marketing that does require consent, we will request it from you in advance via a clear, equally-prominent opt-in / opt-out choice — and the website will not load any such technology before you have agreed.

We implement appropriate technical and organisational measures to protect your data against unauthorised access, alteration, disclosure, or destruction. These include encryption in transit (TLS), access controls, and regular security assessments.
